Idox Training approach

Idox group believes that the key to a successful implementation of an EDRM system is high quality training. As such, training is stipulated as a requirement in the initial contract and is carried out via classroom based training courses and surgery sessions in the workplace. During courses or consultations, Idox Trainers constantly encourage feedback from our clients and their delegates, which is used to improve the system and training services.

Flexible approach

Idox Training reflects the modular nature of the product range and the diverse requirements of clients. Considerations include:

  • Which Idox Software modules are being implemented.
  • The implementation roll-out.
  • The number of users for each module.
  • Integration with customer business applications.
  • The training facilities available.
  • The complexity of the categories being built and even geographical considerations.

Blended approach

It has been our experience that despite the best intentions, it is not always easy to follow classroom training with immediate and effective implementation of the system for all levels of user. This is especially true where users will only increase their usage of the system as their previous paper-based storage system is replaced by electronic documents. This takes time.

If there is a time lag between training and usage, Idox group helps to overcome this by offering workplace surgery sessions and floor walking sessions. These sessions provide one-on-one user support at the desktop, helping to overcome lack of confidence by users. This offer is optional but highly recommended.

Phased approach

The most successful method in delivering training is to use a two-phased approach, providing a solid understanding of the software prior to any end user training and allowing vital decisions to be made at an early stage.

  • Phase 1
    The first phase deals with "pre-user" consultancy/training. The System Administration training will be specifically aimed at those individuals in departments who are decision makers. User roles, and business processes will evolve from this course. Attendees will also be shown how to set user profiles to their own specifications.

  • Phase 2
    The second phase could be considered as "user rollout" and relies on the business processes and decisions agreed on from the System Administration training. The priority will be to commence Scanning and Indexing to populate the system with usable data prior to any end user training, which will be delivered closer to going live.

On-site Training

All Idox software training is delivered on-site. The advantage of on-site training is being able to utilise 'real' documentation and develop processes that will evolve with the users' daily work. For example, for scanning and indexing training, it is beneficial if delegates come prepared with the relevant paper documentation that will be stored within the Idox software. These documents can be utilised in other courses to great effect. If there are any specific processes or documents that require investigating during the training please inform the trainer in advance.
